POSTED eat-1t2 D~ &i;MdcL ~ SIGNATURE STATE OF ALABAMA )( COUNTY OF BALDWIN )( The Equitable Use of Fairhope Recreation Facilities Study Group met at 5:00 p.m., City Hall, Delchamps Room, 161 North Section Street, Fairhope, Alabama 36532, on Tuesday, 31 August 2010. Present were: Rick Kingrea, Chairman Members: Fran Hollinger, Tom Kuhl, Sherry Sullivan, and James Gillespie. Dr. Beverly Thomas was present as a guest. Charlie Langham, Gregg Mims, Lonnie Mixon, Mike Ford, Charlie Johnson, and Eddie Boyett were absent. The meeting opened by Mr. Kingrea asking Dr. Thomas about her opinions and concerns regarding the stadium and parking. Dr. Thomas said she received an email from the Board of Education that the county will not raise the stadium admission ticket prices, i.e. they cannot raise the price to $7.00. She also stated that the band has lost funding from the county and the parking is their fundraiser, which she believes should stay as is. She is concerned with how the parents will react in this economy if the prices are raised. The school just sank money in the pirate ship at the stadium before she was aware that the school could be charged for the use of the stadium, so she did not budget accordingly. She said the city uses the school gyms for no charge for basketball and the schools always try to help the city . Mr. Kingrea assured Dr. Thomas that nothing will change for this football season but the city may come to the schools next year and/or in the future. He agreed that the high school band needs the money as much as the city does . It was discussed what other cities do as far as maintaining fields and use of schools and athletic facilities. Tom Kuhl expressed that this is the "Fairhope Way" and wants the best we can have for the city. He emphasized that the school really are a part of Fairhope. Sherry Sullivan agreed with Mr. Kuhl that the PR is really not with the mess with the schools if we raise prices or charge the schools. Mr. Kingrea stated that he is only looking at the possibilities. He will look into how kind activities are handled between the schools and the city and make a comparison. Mr. Kuhl stated that a study was recently done and the stadium lights cost the city approximately $9.00 per hour to be lit. • I' Sherry Sullivan discussed Sports Tourism and gave a handout. She stated that it will cost the city about $400 per tournament to hold it here and needs a volunteer pool from the citizens and parents. Ms. Sullivan also made the suggestion to the committee to put money in the budget for the ADECA grant for the baseball league. Further discussion ensued regarding holding high quality tournaments. Softball will be the sport to start this and put the structure in place. Mr. Kingrea brought up memberships to the recreation center and pool. Mr. Kuhl stated that about 80% of the members live within the city limits, but he is working with Lonnie Mixon on increasing the fees at the Nix Center, Recreation Center and the golf course. Mr. Kingrea also suggested that the city does not change the prices of league play. Ms. Sullivan stated that a resolution is in the works on the Nix Center fees. Antinarella, Assistant City Clerk Sport Tourism Plan Start small with softball only and continue to work on needs of other programs, send packets to local sports leagues. Eddie Boyett will coordinate mailing list to get this started and Sherry staff will do packets and mail. These will mail by December 1 to prepare for spring/summer 2011. · . . Tom ':"1,11 check with leagues and FHS softball on concessions. If they are not interested find someone to contract with for tournaments. If we contract with someone a percentage wi ll come back to city. · - Tom will coordinate all tournaments, field use and personnel. He will be the contact for all tournament organizers. Tom will provide a calendar of tournaments to committee. He will also set-up a separate revenue GL account so we can better track revenue. Sherry and Alex will follow-up with hotels, merchants after tournaments to see what type of traffic is generated for the local businesses . Tournament coordinators will be charged for field use, cost of personnel (overtime) and individual vendors (t-shirts, photos, etc) will be charged $100 vendor fee. Charlie will coordinate with school coaches and Fairhope Boys baseball to bring more school related/Dixie Youth tournaments to town and communicate with Tom. Need to create a volunteer pool to help if necessary. Contact Booster Club, ·retired sports enthusiasts, etc.
