HomeMy WebLinkAbout09-21-2011 Regular MeetingThe R ecreation Board of the City of Fairhope met Wednesday, September 21, 20 11 , at 5: 15 p.m. at the R ecreation Center lo cated at 803 orth Greeno Road . Present were: Vann Sa ltz, Jenny Douglass, Sherry Sullivan , John Bake r , Bob Keyser, Michelle Smith, Dere k Thomas , Tom Kuhl , and E rik Cortinas. City A dmini strative Assi stant P ando ra Heathcoe took the minutes to the meetin g. A b sentees were: C it y Councilm an Mike Ford . Guests: Tommy Fau st , RBC Bank. Chaim1an Vann Saltz called the meetin g to order. The minutes from the m eeting on Wednesday, July 20, 2011 were reviewed and approved by l s t motion b y John B a ker, a nd 2 nd motioned by Bob Keyser a nd un a nimou s ly ca rri ed . Sports- League Criteria League Financia l Reporting Reqmnts Miche ll e Smith gave th e board m e mbers a proposed process/requirements fo r a n y s ports organizations wis hin g to become a leagu e san c tioned by the C it y ofFairhope . The Committee di sc ussed creatin g an application and Michelle said s he would continue to work on thi s proj ect. It was s u ggested that the Park Rental t e mplate could be used as a guid e. The Committee also di sc u ssed an emai l fro m Denni s Sherrin, Hartmann Blackmon and Kilgore , P C as to when an organi zation shou ld become a 501(c)(3) s tatu s . Tommy Faust, RBC Bank ca m e to address the difference between a 501(c)(3) statu s , for profit 501(c)(3) and a not-for-profit 501(c)(3). He a lso di scussed the financial record re s ponsi bilities of the leagues , proof of in s uran ce form s and making sure th e leagues follow the accountability requirements set forth by the Rec Board. Tom Kuhl -Tom reported that he sti ll ne ed s proo f of insurance from th e soccer and softball leagu es. Youth Football Soccer Tom reported that he attend the Youth Foot ball Pride N ig ht games on Saturd ay, August 2ih _ He reported that th ey h ad teams from a ll over B a ldwin County and eac h played a 15 minute ga m e. Chad Kat Stevens from Youth Football was in attendanc e and reported Pride Night had approx imate ly 2 ,8 00 people and raised approximately $7,0 00 . Mr. Stevens reported that re g istration i s up to 300 thi s year and th ey will a lso be ho stin g Youth Football Super Bow l this yea r Bob K eyser r epo1ted that opening day for the soccer leagu e showed ap pro x im ate ly 5,00 0 -6,000 peop le were in attendance . He also reported that registration is up to 625 for regular, 150 for developm e nt , and 300 for c lub. 1 Sports Tourism- Fairhope v Daphne Football Game- New Sherry Sulli van gave an updated report on sp orts tourism. R ick Kingrea , C ity Co un c il m ember h as requ es te d a consultant to co m e in to m eet with Tom Kuhl , Erik Cortinas , Bob Keyser, Kevin Grimes and Sherry to di scu ss sports tourism for th e C it y of Fairhope. S herry a lso reported th at Fair hop e H ig h Schoo l h as a softball tourname nt booke d in Marc h 20 12; softball has one booked in Octo b er whic h has res ulted in two hote ls being filled for these tournaments. Di sc uss ion was co ntinu e d as an upd ate on the up co ming Fairhope v Daphn e football ga m e w hi ch wi ll be tel ev ised by FOX Sports. There w ill be a press conference o n October I 0 th beginning at I 0 :30 am and held at the R ecreation Center. Ch ief Pres s ha s s uggested havi n g a s huttl e run from the Food Wo rld parking lot to th e s tadium to handle the over flow of traffic . The committee proposed looking at ticket sales at the gates on both sides. Will Duncan (FHS) plans to m eet w ith the Police D epartm e nt to coordin at e parking and traffi c flo w . There was also a s u ggestion to using a school bu s versu s BRA TS to r e duc e cost. Business -The Youth B aseball L eague h as 30 teams playing right no w on Monday a nd Tues da y n ights , and a lso on Saturdays . The Fai rh ope High School baseball team is se llin g Christmas trees an d wreaths as a fundraiser. These can be d e li vered. Bob Keyser has draw down ticket s. The Fa irhop e High Schoo l A thl e ti c Hall of Fame for this year: Kevin Grimes , Scott y W il so n , E ri c Busby, Cedric Wasp and Terry T hompson. There being no further business, on motion to adjourn by 1st D e r ek Thomas , 2 nd by Bob Keyser and unanimously carried , the meet in g was duly a dj ourned at 7:45 PM .
