January 24, 2011
The meeting was called to order at 5:50 PM by Chairman Martin Lanaux .
In attendance were Martin Lanaux, Frieda Ward, Molly Peterson, Cecil Christenberry, Carson
Nicholson, and Tamara Dean -Library Director.
The minutes from the December meeting were submitted and approved.
Reports:
Library director, Tamara Dean , gave a review of the Library employee, statistical, and financial
reports . After review by those present, all reports were accepted as presented.
Business:
Tamara reported that there had been some damage to the Bancroft Street wall by a City of
Fairhope truck and that the City was preparing to order bricks and make necessary repairs.
There was a review of plans for the Ashley Bryan Art Exhibit which will be in the library's
Conference Center throughout February. Tamara reported that exhibit materials were being
unpacked and hung. Printed invitations to a "Meet the Artist Reception" on February 15th
were distributed to Board members. Publicity efforts for the exhibit were reviewed. Carson
recommended that a notice be placed on the City of Fairhope Facebook page . Carson will also
send a notice regarding the need for volunteers to parents of IB students and service clubs at
Fairhope High School. Frieda asked all Board members to assist in identifying docent volunteers
for the month of February. Docents will work in 3 hours shifts throughout the month and act as
greeters. They will also monitor the artwork while the exhibit is open to the public . Frieda will
send to Board members an updated calendar of volunteers.
Due to the conflict with the Artist reception in February, the Staff Reception has been delayed .
A new date will be determined at the March Library Board meeting.
Frieda reported on her review of the responsibilities of the Board of Trustees. She
recommended that several Board meetings per year be dedicated to reviewing specific topics
from the Alabama Public Library Service's Trustee Manual in an effort to give Board members a
better understanding of the duties and responsibilities of our positions as Trustees. Such
"Trustee Training" sessions might focus on topics such as funding, bylaws, or library policies .
After some discussion, those present agreed that two future meetings should be designated for
"Trustee Training." It was recommended that APLS be contacted as a resource or for a speaker
to lead such meetings . The exact topics and schedule will be determined at a later date .
With no further business to discuss, the meeting was adjourned at 7 :00 p .m.
