The Fairhope Recreation Board met Wednesday, August 17, 2016 at 5:15 p.m. in the Rec Center at 803
North Greeno Road.
Present were Sherry Sullivan (left at 6 p.m.), Charlie Langham, Mary Gammer, Vann Saltz, Derek
Thomas, Bob Keyser, Tom Kuhl, Cathy Hudson (left at 6 p.m.), and Diana Brewer (arrived at 5:25 p.m.).
Absent: Mike Ford and Michelle Smith. Gayle Fogarty took minutes at the meeting.
The meeting was called to order by Vann Saltz at 5:15 p.m. The minutes of the July 20, 2016 meeting
minutes were considered and approved on a motion by Derek.Thomas, seconded by Bob Keyser, with one
correction to the July 20, 2016 minutes, Bob Keyser suggestion that Elizabeth Hammock of Upward Flag
Football check with FHS about using used space at the school, none opposed.
Guests: Collin Rust and Eieanora Mauritson
Tennis Center-Fees/Code of Conduct: Sherry Sullivan shared a copy of the Tennis Center Fees/Code of
Conduct with the Rec Board members, and asked that everyone look over it. She stated that she has
shared with Mayor Kant, Collin Rust and Mary Gammer. Mary Gammer added that she and Collin Rust
met with the FTA members and the members of FTA are concerned about charging children, as it may
keep kids from playing the sport. Sherry informed the group that the Hydro Courts are expected to be
done in the next two weeks, the City took over maintenance today, waiting on the fence and American
Asphalt to finish up a few things. The first USTA Tournament will be held at the courts next weekend.
Sherry also stated that a grand opening and new sign unveiling for Mike Ford will be held on September
30, 2016, time and details to be determined, as the sign will take 4 weeks to complete. She added that
Tomas is doing a great job, as the new Tennis Pro.
A motion was made to recommend the approval of the Tennis Center's operational procedures/code of
conduct and fee schedule with the exception that the Recreation Board requests the City Council to
consider possibly providing free admission to children under the age of 15, recommendation as
considered and approved on a motion by Bob Keyser, seconded by Derek Thomas, none opposed.
New Business: Sherry stated that some recreational personnel have been submitted for the 2016-2017
budget, a part-time position at tennis has been requested to be changed to full-time, and hiring another
part-time position.
Old Business: Sherry informed the group that the Fairhope Soccer Complex is going good, although the
rain has held up a few things up, playing fields have been accepted, but not the common areas at this time.
She added that there have also been some issues with the contractor, electric has pulled a majority of what
is needed for the lights and their crew is working on a 10 x 10 building to house the electric. Also, the
City, Single Tax and Soccer are working on the concession and bathroom. Bob Keyser stated that he
spoke with Dirk Flad of the Soccer and as soon as he gets the final set of plans, the plans will go out to
four contractors for bid on the plans, then after 30 days a contractor will be selected. Bob Keyser
mentioned that there is conversation going on about the High School Soccer program purchasing 4 seats
of bleachers, so tournaments can be held. Sherry added that the plan is to host the soccer tournament
scheduled for October at the Fairhope Soccer Complex and move the high school concession stand trailer
over for the event.
Master Plan at Volanta: Sherry Sullivan stated that she is working with Joe Comer on the Master Plan
at Volanta, Joe is waiting on the survey. She will meet with him next week to discuss further, Sherry
added that the pool would need to be a master plan within itself.
Recreation Update: Tom Kuhl informed the group that football, soccer, and baseball would be starting
soon. He added that St. Michael Catholic School will use Volanta for two JV games, the first one will be
held on September 22.
Announcements:
Bob Keyser infonned the group that the high school meet and greet was cancelled, pancake breakfast will
take place in September sometime, and the first home game is 9/2.

Cathy Hudson stated that high school swim. has started, parent meeting tonight, swim meets will be here
every Tuesday, beginning Sept. 27 through November and the County Meet will be here.

Operational Procedures and Code of Conduct
HOURS OF OPERATION
Monday -Friday 8:00 am-8:00 pm Saturday 8:00 am-8:00 pm Sunday 8:00 am-8:00 pm
Hours and days are subject to change due to weather conditions, holidays, tournaments, leagues, etc.
1. Please check -in at the front desk upon entry to the facility. Tennis Center Staff reserves the right to request a
picture ID if warranted.
2. All members and their guests are expected to follow all Tennis Center policies and procedures.
3. The Tennis Center is a tobacco, drug, and alcohol free facility.
4. No one under the age of 13 is allowed at the Tennis Center without supervision. Children 13 and younger are
to be supervised at all times by a parent or responsible adult (18 years or older) to be allowed in the Tennis
Center.
5. Please wear appropriate tennis attire and tennis shoes. Only tennis shoes and specifically non -marking athletic
shoes will be allowed on the tennis court.
6. The Tennis Center is not responsible for any items stolen or lost. Please secure your personal belongings in a
safe manner while in the facility.
7. The Tennis Center staff have the right to determine if any conduct or language is inconsistent with the code of
conduct and to act accordingly. Physical or verbal abuse, sexual innuendo or display of offensive behavior of
any kind is considered unacceptable and will not be tolerated. Violators will be asked to leave the facility.
8. Announcements and flyers displayed at the Tennis Center must be submitted and approved by the Tennis
Manager.
9. To protect families and children of the Tennis Center, electronic devices containing cameras (cameras, cell
phones, PDA's, etc.) are strictly forbidden in the changing areas.
10. Use, sale or possession of alcoholic beverages or controlled substance is prohibited.
11. Report any accidents or incidents to staff immediately.
12. No skateboards, scooters, bicycles, alcoholic beverages, tobacco products, food are allowed on the Tennis
Courts or in the Tennis Shop. Food will be allowed in the designated areas.
13. Teaching is not permitted unless approved by the City of Fairhope.
14. Guide or assistance dogs will be allowed in the building.

Hydro Court and Hard Court policies/procedures:
• Maximum rental time is 1.5 hour.
• Only tennis shoes and tennis & athletic apparel allowed during play. No running shoes or cross -trainers on the
hydro courts and hard courts, only flat soles non -marking tennis shoes will be allowed.
• Players must sweep/groom the Hydro Court and clean the lines after each playing session.
• No skateboards, scooters, bicycles, alcoholic beverages, tobacco products, or food are allowed on the Tennis
Courts.
Member Benefits:
• Unlimited court play (limited to 1.5 hour at one time).
• Can reserve 72 hours in advance.
• No Locker Fee for members.
Check -in Procedures:
• All members and nonmembers must sign in or show memberships card at the front desk.
• Cash, checks and credit cards — no $100 bills will be accepted.
• Photo ID is required when paying with credit cart/debit card and checks. Current address will have to be
written on the checks. Checks must be written to "City of Fairhope".
• Staff will assign courts.
Reservations Procedures:
• Members can reserve courts 72 hours in advance.
• Non -Members can reserve 24 hours in advance.
• Courts are reserved for one and one half hours.
• Late cancelation may lead to forfeiting right to reserve the courts.
• Tennis Pro, Tournaments, Socials and Leagues have priority.
Court Reservation Cancelations: Must cancel 24 hours prior the reservation time.
Weather Procedures:
• In case of rain, inclement weather or any other emergencies, the Tennis Center Staff will determine if the
courts are in safe condition and playable.
• Tennis Center will follow City of Fairhope lightning and thunder standard operating procedures.
"Play will resume 15-30 minutes after the last sound of thunder or sighting of lightning and after the storm is
considered "ended" and there are evident signs of clearing.
• Rain Check will be given if less then hour of play. No refunds will be given after one hour of play.
;neral Information:
• We encourage patrons and their guests to sweep and line courts after each play.
• Water and cups will be available on the tennis courts.
• Please clean your feet before entering the tennis shop building.
• Restroom and locker room facilities will be open until 10 p.m.
• Please contact the tennis staff regarding any inquires, concerns and questions at 990-9526 and email at
tomas.catar(a?cofairhope.com. In case of an Emergency please dial 911.
Lost and found procedures:
We will have a lost and found items area. After one month, unclaimed items may be donated to the local thrift shop or
Goodwill.
Large groups and corporate rentals:
For larger groups, corporate rentals please contact the Tennis Manager at tomas.catar@cofairhope.com.
