Fairhope Rec Board Meeting Agenda -May 16, 2012 5:15 p.m. in the Meeting Room Recreation Center -803 North Greeno Road, Fairhope, AL • Approval of Minutes for April meeting • Old Business • State Tournament in July • Discussion of Ordinance regarding pets on playing surfaces • Financial Report • New Business • Report from Tom Kuhl • Stephanie Reeves regarding Youth Football Schedule of Future Meetings (Note: Regular meetings are on the 3 rd Wednesday of each month at 5:15 p.m. in the Meeting Room at the Recreation Center, 803 North Greeno Road, Fairhope, AL.) • Next regular meeting: Wednesday, June 20 , 2012 The Recreation Board of the City of Fairhope met Wednesday, May 16, 2012, at 5:15 p.m. at the Recreation Center located at 803 North Greeno Road. Present were: Shen-y Sullivan, Bob Keyser, Tom Kuhl, Jenny Douglass, Derek Thomas, Michelle Smith, Erik Cortinas, City Councilman Mike Ford (arrived at 5:45 p.m .). City Executive Assistant Gayle Fogarty took the minutes at the meeting. Absentees were: John Baker and Vann Saltz. Guests: Stephanie Reeves and Mike McLaughlin Bob Keyser called the meeting to order at 5: 15 p.m . The minutes from the meeting held on Wednesday, April 18, 2012 were reviewed and approved by 1st motion by Erik Cortinas, and 2nd motioned by Michelle Smith and unanimously carried. Old Business-Erik Cortinas gave an update on the Ozone State Tournament. Erik said, the State tournament committee decided against hosting a parade, due to the logistics, but will Tournament host a Luau on Saturday, July 14, 2012 at the Fairhope City Pool. AJl the children Ordinances- Finance Report- New Business- and families participating in the tournament will be invited. Tom Kuhl and Sherry Sullivan are working on ball field-waiting on a grant. Sherry Sullivan provided a copy of the revised ordinance "pets on field playing surfaces" for the group. (see attached) Section 2 of the ordinance is up for discussion on the council agenda scheduled for Tuesday, May 29, 2012. Sherry added that once an ordinance is approved, it becomes a law. The ordinance number wiJl need to be sighted on the park rules sign to be enforced. A motion to add ordinance numbers to the park rules sign/ordinance (ie: smoking, pets on field & leash law) was made 1st motion by Erik Cortinas, and 2nd motioned by Jenny Douglass and unanimously carried. Tom Kuhl reported that be didn't have an update on the finance report. He did state that budget requests for capital improvements to a city park facility is due by June 1, 2012, as it would need to go before the City Council. Gayle Fogarty was asked toe- mail the league representatives and request capital improvements needed to a city owned facilities be sent to Tom Kuhl by June 1. Tom Kuhl stated that he is waiting on a permit from ADEM to complete Founder's Park. Currently be is getting the fields ready for FHS graduation and the baseball tournament beginning in July. Tom added that a large amount of improvements have been this year. Once the permit is available, Founder's should take about 5-6 days to complete based on staff availability. Bob Keyser will contact ADEM to check on status of permit. Bob added that the Battle of the Bay Soccer Tournament will begin Friday, May 18, Mobile County vs. Baldwin County. He is continuing to push for the high school to have an indoor multi-purpose training facility . Stephanie Reeves attended the meeting to request support for Fairhope Youth Football. She asked the committee to consider purchasing bleachers and goal posts to be used at the Barnwell field. The bleachers currently in ·use are unsafe. Stephanie stated that 100 (6-12 year old) players are registered and 1,500 spectators are expected per game. The season runs from August to mid-November. Stephanie added that quotes have been obtained, 4 sets of bleachers at $8,500 per set and 4 goal posts. Bleachers seat 104 people per set. The total requested is: $38,000. There was general discussion among the group. Bob Keyser added that the money used could come from the impact fee fund, as these funds are to be spent for growth based purposes within the community. A motion was made to request $38,000 in impact fee funds from the City Council 1st motioned by Erik Cortinas, and 2nd motion by Michelle Smith and unanimously carried. There being no further business the meeting was duly adjourned at 6: 10 p.m. The next scheduled meeting will be held Wednesday, July 18, 2012.
