Schedule Of Future Meetings (Note : Regular meetings are on the 3rd Wedne sday of each month at 5 : 15 p.m . in the Meeting Room at the Recreation Center, 803 North Greeno Road, Fairhope, AL.) • Nex t regu lar mee tin g: Wed nes day, March 17, 201 1 The Recreation Board of the City of Fairhope met Wednesday, February 17 , 2011 , at 5:15 p.m. at the Recreation Center located at 803 North Greeno Road. Present were:, Chairman Vann Saltz, Jenny Douglass , Michelle Smith, Erik Cortinas, Sherry Sullivan, Tom Kuhl, Liz Chandler, and Derek Thomas. City Administrative Assistant Pandora Heathcoe took the minutes to the meeting. Guest: Cathy Hudson from the FAST Swim League. Absentees were: and John Baker, Bob Keyser and Councilman Mike Ford. Chairman Vann Saltz called the meeting to order. The minutes from the meeting on Wednesday , January 19 , 2011 were reviewed and approved by 1st motion by Derek Thomas, and 2nd motioned by Erik Cortinas and unanimously carried. Master Swim Club-Vann reported that he , Tom Kuhl, Michelle Smith and the Master Swim Team Board meet twice to discuss creating the league and the leagues name will now be known as Eastern Shore Masters Swimming. Michelle Smith supplied a hand out of the league 's first meeting minutes and a brief synopsis of the Board members, the league's purpose, liability insurance , anticipated use of the municipal pool facilities, and the costs to the league. Practice times were discussed between the Rec Board and Cathy Hudson, with the FAST Swim League. Michelle also discussed that the league is targeting a time in the fall for a swim meet; howe ver a formal date has not been set. Jenny Douglass suggested that it might be a good idea to post the practice times for both leagues at the pool so members will be aware and it also could generate additional membership for either league. Vann Saltz said that he also believes that there is not a conflict for Michelle Smith to be a member of the Rec Board and also the Eastern Shore Masters Swimming Board. A motion was presented to allow the Eastern Shore Masters Swimming to become an affiliated league of the City of Fairhope Municipal Pool. Motion was reviewed and approved by 1st motion by Derek Thomas, and 2nd motioned by Jenny Douglass and unanimously carried. Rec Center -Liz Chandler reported that membership is currently at 3,500 and all classes are very busy. She reported that the basketball youth league is going very strong and that Danny Ford is in charge of that league. 1 New Business: Swim Pool- Youth Football- 5-Year- Tom Kuhl announced that the maintenance and repair work on the pool is complete and the pool re-opened this past Monday. He reported that the locker rooms look very good and explained the various maintenance items performed . He said that the current feedback from the members is very positiv e . Tom Kuhl reported that he has spoken to the coaches and parents for youth football. They are in the process of creating a board and are in the process of drawing up a plan for this upcoming year. They also reported to Tom that by adhering to this plan, all of their debts should be paid off this year. Erik Cortinas is continuing to work on the 5-year plan. He brought aerial shots of each facility that the City of Fairhope Recreation Center has which showed the engineering of the 40 acre Manley Road property, Stimpson field , the Volanta parks , and the football fields at Barnwell. He reported that what he sees right now is a large need for additional soccer fields. He also discussed the amounts of money that the Fairhope High School Booster Club came to request from the City Council F AC Committee . It was also discussed that the F AC Committee told the Booster Club to come back in June when the budget is being worked on. Erik said he would like for the sub-committee members who were created at the August 18, 2010 meeting to meet on Wednesday , March 2 nd at 5:30 pm to further discuss the 5-year plan in depth. Pandora Heathcoe will send an email to the following members: Erik Cortinas ; Dennis Sherrin ; Bob Keyser ; Derek Thomas ; and Michelle Smith to set up that meeting at the Rec Center meeting room. There being no further business , on motion to adjourn by 1st Erik Cortinas, 2 nd by Jenny Douglass and unanimously carried , the meetin g was duly adjourned at 6 :30 PM. The next scheduled meeting will be held Wednesday , March 16 , 2011 . 2 EASTERN SHORE MASTERS SWIMMING PURPOSE: Create an adult swim league based at the Fairhope Municipal Pool, hereafter known as Eastern Shore Masters Swimming. Our mission is to promote swimming via a sanctioned United State masters swimming program for fitness enthusiasts, triathletes, and competitive swimmers. ESMS ORGANIZATION (Board of Directors): President/Coach-Michelle Smith Vice President/ Asst. Coach-Bob McLaughlin Registrar/Uniforms-Kelley Lyons Treasurer-Trin Ollinger Secretary-Tab Vaughan LIABILITY INSURANCE: . USMS provides each registered club General Liability Insurance in the amount of $1,000,000 during practice sessions (where all participants are members of USMS or USA Swimming and under the direct supervision of a USMS member or certified coach) and during sanctioned swim meets. ANTICIPATED USE OF THE FACILITY: Swim Practice -ESMS will utilize no more than 3 lanes set aside for Masters Swimmers during the agreed upon practice times. Practice times are weekdays at (5:30am-7:00am; 7:30am-9:00am & 6:00pm-7:00pm), and Saturdays (10:00am-11 :00am). Swim Meets -ESMS will host 1 weekend swim meet per year at a mutually agreeable date with the City of Fairhope. Generally masters swim season is designated as follows: July 25 (or 1 week after FAST swim season) through mid May (or when public schools are out for the summer) COSTS: USMS membership registration is $39 annually. All ESMS members will be required to have a current membership to the Fairhope Pool/Recreation Center or pay a daily rate per practice. Standard 'resident' rates will apply to all ESMS members . EASTERN SHORE MASTERS SWIMMING Meeting Minutes January 26, 2011 Let it be known that on this day, January 26, 2011, at Fairhope, Alabama, we agree to form as a swim club "Eastern Shore Masters Swimming" under the guidelines set forth by the United States Masters Swimming organization and the "not for profit" association guidelines defined by the United States Internal Revenue Service. Whereas the directors are Bob McLaughlin, Michelle Smith, Trin Ollinger, Tara Vaughan, and Kelley Lyons, and are hereby granted authority to conduct business matters that may arise in the course of normal club matters. The club's mission is to promote..,. via a sanctioned United States masters swimming program for fitness enthusiasts, tri -athletes, and competitive swimmers. All monies generated in association with this master's swimming program, such as through meets, fundraisers, etc., will be routed back into the program or the pool for use as its members and board best see fit. All a re encouraged to join and support the FT A to enable the accomplishment of objectives set forth above. The FT A is in need of immediate funds to acqu ire liability insurance and to begin preparations for the tournament. Please consider joining FTA now -and convince others to join as well .
